Job Description

As an Executive Assistant, you will assist our strategic growth, our Managing Director, Nick Reynolds, requires an EA to enable him to focus on key tasks. The successful candidate will be able to start immediately, or as soon as they are able to do so. 

Duties and responsibilities: 

  • ● Arranging meetings, creating agendas, taking minutes, following up on action points.
  • ● Arranging client meetings and CPD presentations.
  • ● Liaising with clients to arrange details such as provision of lunches.
  • ● Executive scheduling including Calendar/Email/Agenda management.
  • ● Answering the phone via Microsoft Teams for the main head office and transferring calls to the right team, in a polite and professional manner.
  • ● Assisting with organising F2F meetings and events, including Team Days and client networking events.
  • ● Office admin duties including ordering of supplies.
  • ● Arranging travel / flights / trains / taxis / hotels etc for the MD as well as other senior team members if required.
  • ● Following through on tasks allocated by the management team, to ensure completion.
  • ● Helping to manage minutiae / routine tasks to free up the MD.
  • ● Prioritising emails and phone calls.
  • ● Gathering documents and reports to prepare for meetings, including Board Meetings.
  • ● Daily administrative duties.
  • ● Support with IT requirements.
  • ● Maintaining files and records including the HubSpot database.
  • ● Conducting research when required on specific subjects.
  • ● Following through on strategic tasks to implement in the wider team.
  • ● Shielding the Managing Director from distractions and low value tasks and keeping him focussed on the key priorities.
  • ● Assisting with the admin of recruitment and other internal HR processes.
  • ● Provide assistance with document creation, keeping the Business Manual updated and organised, and any other administrative tasks as needed.
  • ● Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
  • ● Act as the point of contact among executives, employees, clients and other external partners.
  • ● Assisting the MD with other tasks such as administration of charitable activities, business mileage records, car insurance and other requirements that may arise

  • ● Excellent verbal and written English communication skills
  • ● Strong customer support skills
  • ● Strong analytical and multitasking skills
  • ● Highly organised and efficient
  • ● Proficient with MS Office including Word, Excel, and Outlook
  • ● Experience with CRM Software
  • ● Experience working with Western companies (preferred)
  • ● Bachelor’s degree preferably in Business Administration
  • ● 1 to 2 years of experience as an Executive Assistant, Personal Assistant, or similar role
